About the position

The Administrative Assistant at JJC Auto Repair plays a crucial role in supporting the operations of a family-owned auto collision repair center. This position involves managing customer interactions, overseeing vehicle repair processes, and ensuring effective communication between clients, insurance companies, and rental car agencies. Responsibilities

  • Answer phone calls from customers, insurance companies, and rental car agencies.
  • Manage the tracking of vehicle income and expenses related to rentals, insurance companies, or private clients.
  • Prepare estimates for vehicle repairs.
  • Request parts and components from various automotive suppliers.
  • Maintain control over requested parts and their budget allocation for vehicle repairs.
  • Verify that the correct parts match the invoices received.
  • Review correspondence related to the business operations.
  • Provide repair status updates to customers and keep them informed throughout the process.
  • Track repaired vehicles that are ready for delivery.

Requirements

  • Proficient in basic office tools: Word, Excel, printer, scanner.
  • Bilingual (English-Spanish) is mandatory.
  • Friendly, courteous, and communicative with strong customer service skills.
  • Organized and detail-oriented.
  • Responsible and punctual, with a requirement to be ready at the workplace 5 minutes before operations start.
  • Ability to work in a team environment.
  • Capable of working under pressure.
  • Excellent attitude and disposition.
  • Valid driver's license is required.
  • Appropriate attire for a collision workshop; uniform will be provided.
  • Training for the position will be provided.
