About the position

The Administrative Assistant to the Assistant Director of Athletics & Coordinator of Health plays a crucial role in facilitating the efficient operation of the athletics and physical education K-12 program at Clear Creek ISD. This position provides essential clerical support to the Director of Athletics and the Coordinator of Health/Physical Education, contributing to the overall mission and strategic plan of the district.

Responsibilities

  • Perform routine office activities including good telephone etiquette, taking messages, typing correspondence, and maintaining information files.
  • Maintain the calendar, scheduling appointments and meetings as needed.
  • Interface positively with the community regarding issues affecting students, staff, and community.
  • Assist with special departmental events and accurately process purchase orders, invoices, and athletic pay sheets.
  • Maintain accurate data reflecting expenditures of the PE supply and staff development budget.
  • Respond to inquiries and requests from administrators, campus bookkeepers, and Athletic/PE staff.
  • Process travel requests and reimbursement forms for athletic and PE staff in a timely manner.
  • Order and maintain inventory of office supplies and monitor office equipment maintenance.
  • Prepare workshop materials and financial statements for playoff games hosted by the district.
  • Disseminate materials to coordinators, coaches, staff, and principals, and post athletic schedules on the district website.
  • Maintain district files on PE waivers and ensure confidentiality at all times.
  • Stay informed of and comply with all federal, state, and district policies and regulations.
  • Engage in professional development opportunities for personal growth and participate as an effective team member.

Requirements

  • High school diploma or GED.
  • Minimum of 3 years secretarial and bookkeeping experience, preferably in a public education environment.
  • Proficient computer, word processing, and file maintenance skills.
  • Strong organizational skills and effective communication and interpersonal skills.
  • Basic math skills and interpretive and reasoning skills.
  • Ability to maintain confidentiality, multitask, and work with little or no supervision.

Nice-to-haves

  • Post High School Business Management coursework.
