About the position

The City of Centerville, Ohio, is seeking a full-time Administrative Assistant/Assistant to the Clerk of Council. This role is essential in providing administrative support to the Development Department and assisting the Clerk of Council. The position involves managing communications, preparing documentation for meetings, and supporting various city boards and initiatives, contributing to the effective governance of the community.

Responsibilities

  • Split time approximately 70% as Administrative Assistant for the Development Department and 30% as Assistant Clerk of Council.
  • Receive telephone calls, take messages, and transfer calls to appropriate personnel.
  • Serve as secretary to the Centerville Planning Commission, Board of Architectural Review (BAR), and other land use boards or task forces created by the City Council.
  • Process and manage Planning and Zoning applications and databases, including weekly deposits.
  • Prepare, distribute, and maintain meeting agendas, meeting packets, and public hearing notices.
  • Assist the Clerk of Council in the preparation of pre and post council meeting documentation.
  • Provide general administrative support, including managing schedules, coordinating meetings, report generation, and maintaining files and databases for the Development Department and Clerk's Office.
  • Attend evening meetings as required.
  • Assist with the preparation of reports, presentations, and documentation for the Development Department and Clerk's Office.
  • Maintain and increase knowledge and skills through attendance at meetings, conferences, and training seminars with proper approval.
  • Perform all duties of the Clerk of Council in his/her absence.
  • Collaborate with the Building Inspection administrative assistant to maintain consistent front office coverage and public service.
  • Support the Development Director with strategic development initiatives, including business attraction, retention, development of marketing materials, and coordination with regional partners, grants, and reporting.

Requirements

  • 2-3 years of experience in administrative roles, preferably in a government or public sector setting.

Benefits

  • Full-time position with a competitive salary range of $27.85 - $36.21 per hour.
