About the position

The Administrative Assistant at Propel Schools plays a crucial role in supporting the school leadership team and the entire school community. This full-time position involves maintaining student records, providing excellent customer service, and performing various clerical tasks to ensure the smooth operation of the school. The role requires strong organizational skills and the ability to manage multiple responsibilities effectively.

Responsibilities

  • Supports the school leadership team and the entire school community.
  • Maintains accurate reporting, tracking, and filing of student records while ensuring confidentiality.
  • Greets, screens, tracks, and directs visitors to appropriate locations, maintaining visitor logs.
  • Provides excellent customer service to Propel families, scholars, staff, and visitors via telephone, email, and in-person engagement.
  • Generates and distributes communications from the school to scholar families.
  • Displays strong organizational skills and prioritizes assignments to meet deadlines.
  • Answers, screens, and routes incoming calls and messages, responding to routine questions.
  • Orders office supplies building-wide using purchasing software.
  • Maintains office equipment and completes purchase orders.
  • Performs routine clerical functions such as copying, sorting, filing, and typing.
  • Creates and maintains various office files, logs, and scholar records.
  • Accepts internal/external deliveries and mail daily, sorting and distributing all mail/packages.
  • Maintains communication with various sending school district departments.

Requirements

  • High School diploma or equivalent is required.
  • One year of administrative experience preferred.
  • Working knowledge of word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable Microsoft Suite and Google Suite products.
  • Excellent customer service and communication skills.
  • Ability to demonstrate clerical skills in a fast-paced, high-energy environment.
  • Proven ability to build relationships and maintain confidentiality.
