About the position

The Administrative Assistant (Bilingual) position at The Interfaith Nutrition Network (The INN) in Hempstead, NY, is a full-time role dedicated to providing essential administrative support to the organization. This role is crucial in helping The INN fulfill its mission of combating hunger and homelessness in the local community. The successful candidate will be responsible for a variety of administrative tasks, including managing communications, data entry, and preparing reports, all while interacting with diverse populations.

Responsibilities

  • Provide administrative support to the INN Campus, including the Mary Brennan INN and The Center for Transformative Change.
  • Greet and direct all guests, service providers, and visitors accordingly.
  • Receive, sort, and distribute incoming mail; assist with copying, faxing, scanning, and filing of guest documents.
  • Perform data entry into Apricot.
  • Answer calls and messages regarding donations and general inquiries.
  • Enter all donations in a spreadsheet and log the poundage of all food.
  • Prepare check requests and submit to Finance for payment of invoices.
  • Prepare Food & Paper Expenses monthly for general reporting information.
  • Provide documented background check information for new volunteers.
  • Prepare monthly statistical reports and reports for Island Harvest and Long Island Cares.
  • Prepare monthly MBI calendars and weekly menus.
  • Attend Security Committee meetings, prepare recommendations, and upload all incident/accident reports into Apricot.
  • Issue receipts to donors for all cash received.

Requirements

  • One year certificate from college or technical school or three to six months related experience and/or training; or equivalent combination of education and experience.
  • Proven administrative experience.
  • Exceptional written and verbal communication skills.
  • Proficiency with MS Office/office equipment; aptitude for learning new software and systems.
  • Strong time-management skills and multitasking ability.
  • Organized and detail-oriented, able to handle sensitive information discreetly.
  • Comfortable working with diverse populations (underserved, homeless, etc.).
