About the position

The Administrative Assistant (Bilingual) at Lang Masonry Contractors provides essential administrative support to the President and ensures efficient office operations. This role is crucial for maintaining communication with both English and Spanish-speaking stakeholders, facilitating smooth interactions and project management within the company.

Responsibilities

  • Provide direct administrative support to the President, including scheduling appointments, organizing documents, and preparing meeting materials.
  • Coordinate and arrange travel, accommodation, and detailed itineraries as needed.
  • Manage incoming and outgoing correspondence, including checking and organizing mail.
  • Organize and maintain office supplies, keeping inventory stocked and within budget.
  • Ensure the office space is well-organized and conducive to a productive work environment.
  • Communicate with cleaning staff.
  • Maintain and update the conference room calendar to avoid scheduling conflicts and ensure efficient meeting planning.
  • Assist with onboarding Hispanic employees, including conducting orientations and ensuring clear communication of company policies and procedures.
  • Support the HR team.
  • Act as a communication liaison with Spanish-speaking employees and subcontractors to facilitate smooth operations and ensure clarity on project requirements.
  • Provide support in creating and updating marketing materials, including presentations, social media content, and other promotional items as required.
  • Assist in coordinating marketing campaigns and tracking project timelines.

Requirements

  • Fluent in English and Spanish, with excellent written and verbal communication skills in both languages.
  • High school diploma or equivalent; Associate degree or higher in business administration or a related field preferred.
  • 2+ years of experience in an administrative, office management, or executive assistant role, ideally within the construction or masonry industry.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with HR processes and concepts is a plus.
  • Strong organizational skills with attention to detail.
  • Excellent interpersonal and communication abilities, with a customer service mindset.
  • Ability to multitask and prioritize tasks efficiently.
  • Proactive problem-solver with a high level of professionalism and confidentiality.
  • Comfortable working independently and within a team-oriented environment.
