Our small but growing CPA and Financial Services office needs a reliable, organized Administrative Assistant/Bookkeeper. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed. This position is crucial for maintaining the smooth operation of our office and ensuring that our clients receive the highest level of service. The ideal candidate will be proactive in their communication with clients, ensuring compliance and addressing any concerns that may arise. In this role, you will be responsible for a variety of administrative and bookkeeping tasks. You will proactively communicate with clients to ensure compliance, answer a multi-line phone system, organize and schedule appointments, and manage correspondence. You will greet clients upon arrival and direct them to appropriate conference rooms, maintain filing and storage systems, and electronically scan documents into our software system. Additionally, you will maintain office supply inventory, retrieve documents and files when requested, and process incoming and outgoing mail. As a bookkeeper, you will process and maintain the books for our clients utilizing QuickBooks software, which includes bank reconciliations, general ledger entries, accounts receivable, accounts payable, and fixed assets tracking. You will also prepare accurate and timely payroll tax deposits, quarterly payroll tax returns, and year-end W-2s and 1099s. Developing and maintaining strong relationships with clients through ongoing communication and exceptional service is essential. You must be able to be fingerprinted to have a background check completed, ensuring the integrity and security of our office operations.
