About the position

Our small but growing CPA and Financial Services office needs a reliable, organized Administrative Assistant/Bookkeeper. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed. This position is crucial for maintaining the smooth operation of our office and ensuring that our clients receive the highest level of service. The ideal candidate will be proactive in their communication with clients, ensuring compliance and addressing any concerns that may arise. In this role, you will be responsible for a variety of administrative and bookkeeping tasks. You will proactively communicate with clients to ensure compliance, answer a multi-line phone system, organize and schedule appointments, and manage correspondence. You will greet clients upon arrival and direct them to appropriate conference rooms, maintain filing and storage systems, and electronically scan documents into our software system. Additionally, you will maintain office supply inventory, retrieve documents and files when requested, and process incoming and outgoing mail. As a bookkeeper, you will process and maintain the books for our clients utilizing QuickBooks software, which includes bank reconciliations, general ledger entries, accounts receivable, accounts payable, and fixed assets tracking. You will also prepare accurate and timely payroll tax deposits, quarterly payroll tax returns, and year-end W-2s and 1099s. Developing and maintaining strong relationships with clients through ongoing communication and exceptional service is essential. You must be able to be fingerprinted to have a background check completed, ensuring the integrity and security of our office operations.

Responsibilities

  • Proactively communicate with clients to ensure compliance.
  • Answer multi-line phone system and direct calls as required.
  • Organize and schedule appointments.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Greet clients upon arrival and direct them to appropriate conference rooms.
  • Maintain filing and storage systems in the office.
  • Electronically scan documents into software system.
  • Maintain office supply inventory.
  • Retrieve documents and files when requested.
  • Route incoming mail and process outgoing mail.
  • Process and maintain the books for our clients utilizing QuickBooks software.
  • Perform bank reconciliations, general ledger entries, accounts receivable, and accounts payable, and fixed assets tracking.

Requirements

  • Must have knowledge of Microsoft Office, Computers, Data Entry, Typing, Communication, Filing, QuickBooks.
  • Typing speed: minimum 60 WPM with 90 percent accuracy.
  • 5 years of proven office experience.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, such as printers and fax machines.
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multi-task.
  • Familiarity with mobile technology.
  • Pleasant, friendly disposition.
  • Strong interpersonal communication skills.

Nice-to-haves

  • Strong knowledge of QuickBooks and CS Suite (preferred).
  • Associate's degree (preferred).
  • Experience with payroll processing.
