About the position

The Administrative Assistant/Bookkeeper plays a crucial role in the finance team at St. George's Golf & Country Club, reporting directly to the Controller. This part-time position involves a variety of bookkeeping and administrative tasks, including managing accounts payable and receivable, supporting payroll administration, and assisting with various office projects. The role requires attention to detail and the ability to handle confidential information appropriately.

Responsibilities

  • Perform Accounts Payable by processing vendor invoices, verifying accuracy, and processing payments.
  • Assist with Accounts Receivable by following up on members' inquiries.
  • Assist with daily bank deposits and applying for client payments.
  • Perform data entry, scanning, etc. into various computer software.
  • Generate reports as requested.
  • Answer client inquiries related to billing or invoicing.
  • Research & resolve discrepancies.
  • Assist with human resources needs, including processing new employee paperwork and maintaining employee files.
  • Handle confidential material appropriately and by club standards.
  • Assist with club website and membership inquiries.
  • Assist with membership onboarding for new members.
  • Support the payroll administrator as needed.
  • Manage communication including emails and phone calls.
  • Organize and maintain files and databases in a confidential manner.

Requirements

  • Extremely detail-oriented with good organizational and motivational skills.
  • Ability to work independently and as part of a team.
  • Capable of handling situations confidentially and with discretion.
  • Proficient in Microsoft Word, Excel, Outlook, Publisher, PowerPoint, and Adobe.
  • Experience with QuickBooks Desktop Pro.
  • Ability to prioritize tasks.
  • Minimum of one year of previous administrative/bookkeeping experience.
  • High School diploma or equivalent.

Nice-to-haves

  • 3-4 years of administrative/bookkeeping experience preferred.
  • Associate degree preferred.
  • Experience with Jonas system a plus.
