About the position

As an Administrative Assistant/Bookkeeper within the Accounting Department, you will report directly to the CFO. This role involves performing bookkeeping and data entry functions related to the day-to-day operations of the department, assisting in month-end reconciliation of accounts, and ensuring timely and accurate payments to vendors. You will also be responsible for filing paperwork both electronically and physically.

Responsibilities

  • Handle bank deposits and invoice/billing requirements.
  • Support through general clerical duties such as photocopies, fax and mailings, ordering office supplies, and tracking inventory.
  • Interact with vendors via phone and email.
  • Process and post payments in QuickBooks and Impact systems.
  • Perform AP and AR duties per established procedures.
  • Organizing/maintaining electronic and paper files/records.
  • Process & prepare outgoing mail for Accounting Department.
  • Daily/Weekly Reporting updated and sent to management team.
  • Daily reconciliation of payments to vendors.
  • Disbursement of petty cash and reconciliation of receipts.
  • Prepare documentation for audits, routine storage, or special request as instructed.
  • Assist with account reconciliations for assigned accounts.
  • All other tasks as assigned.

Requirements

  • Must have valid driver's license.
  • Applicant cannot have any criminal history.
  • Must be 18+ years of age.
  • Bachelor's Degree in Business Administration, Accounting or Finance desired but not required.
  • Knowledge of QuickBooks preferred.
  • Excellent communication skills, verbal and written.
  • Excellent interpersonal skills to interact professionally with guests, vendors, and staff.
  • Ability to deal with confidential information appropriately.
  • Highly organized with the ability to manage multiple projects and duties simultaneously.
  • Strong attention to detail and interest in accuracy.
  • Highly professional and dependable.
  • Strong problem solving and analytical skills.
  • Strong computer and internet skills, including Microsoft Office Suite.
