About the position

The job of Administrative Assistant - Chief Communications Officer is designed to provide a wide variety of complex and confidential administrative and secretarial support to the Chief Communications Officer. This role is essential for conveying information regarding department functions and procedures, ensuring the efficient operation of support functions, and coordinating assigned projects and site activities. The Administrative Assistant will be responsible for compiling data from various sources, coordinating projects and events, maintaining documents and records, and monitoring activities on behalf of the assigned administrator. This position requires excellent organizational skills and the ability to manage multiple tasks effectively. In this role, the Administrative Assistant will participate in meetings, workshops, and trainings to provide or receive information, record minutes, and support the needs of attendees. The position also involves preparing a wide variety of reports, documents, and correspondence, both confidential and non-confidential, to document activities and convey information. The Administrative Assistant will represent the assigned administrator in various capacities, respond to inquiries from internal and external parties, and support administrative personnel in their functions and responsibilities. This position is crucial for maintaining the smooth operation of the communication services department and ensuring that all activities are completed in a timely manner. The job requires a proactive approach to problem-solving, the ability to adapt to changing priorities, and strong communication skills to work effectively with diverse groups. The Administrative Assistant will also be responsible for procuring supplies, reconciling account balances, and conducting research on various topics to provide information and recommendations that address administrative requirements. Overall, this position plays a vital role in supporting the Chief Communications Officer and the communication services team in achieving their goals and objectives.

Responsibilities

  • Compiles data from a wide variety of sources for preparing reports and making recommendations.
  • Coordinates a wide variety of projects, functions, events, and program components.
  • Maintains a wide variety of manual and electronic documents files and records.
  • Monitors activities on behalf of the assigned administrator and communication services team.
  • Participates in meetings, workshops, and trainings to provide or receive information and support attendees.
  • Participates in work activities within the communication services department to organize assignments and monitor progress.
  • Prepares reports, documents, and correspondence of a confidential and non-confidential nature.
  • Presents information on administrative procedures to orient new personnel.
  • Processes a wide variety of documents and materials in compliance with administrative guidelines.
  • Procures supplies and materials to maintain availability of required items.
  • Reconciles account balances for assigned budget categories.
  • Represents the assigned administrator to convey and gather information.
  • Researches a variety of topics to provide information and recommendations.
  • Responds to inquiries from internal and external parties to facilitate communication.
  • Supports assigned administrative personnel in their functions and responsibilities.
  • Performs other related duties as assigned.

Requirements

  • Job-related experience is required.
  • Targeted, job-related education with study in a job-related area.
  • Skills in operating standard office equipment and using job-related software applications.
  • Knowledge of accounting/bookkeeping principles and business telephone etiquette.
  • Ability to schedule activities, gather data, and use job-related equipment.
