About the position

The Administrative Assistant for Child Care Resource and Referral at Northwest Regional Education Service District plays a crucial role in providing clerical and secretarial support to an assigned administrator or program. This position involves a variety of tasks including word processing, data entry, filing, and recordkeeping, requiring intermediate clerical skills and a detailed understanding of departmental procedures. The assistant will serve as a key contact for the department, exercising independent judgment and decision-making within established guidelines.

Responsibilities

  • Perform various clerical tasks and secretarial duties for the assigned Administrator, including maintaining calendar, scheduling meetings, and assisting with documentation.
  • Independently prepare, maintain, and disseminate records/files; establish and update manual and computerized recordkeeping systems.
  • Compose, review, edit, and proofread documents and reports in Word using accurate business English.
  • Initiate completion of regularly recurring reports, correspondence, and duties related to the program's fiscal year.
  • Process requisitions, reimbursements, purchase orders, invoices, and reports using fiscal software and Excel.
  • Receive, receipt, and record fees; perform various posting and balancing of assigned records and accounts.
  • Process and distribute documents such as mail, staff time sheets, and newsletters for dissemination to appropriate parties.
  • Data entry and retrieval from various software systems used by NWRESD.
  • Order and distribute office supplies; replenish as necessary.
  • Update website for program/department and develop forms for task delivery.
  • Assist other personnel to ensure efficacy of NWRESD work and may train other employees in basic applications.
  • Assist with meeting registration, set-up, and clean up as requested.

Requirements

  • High school diploma or GED.
  • Bilingual - Spanish/English preferred.
  • Valid driver's license.
  • High level of communication/interpersonal skills.
  • Ability to work independently on complex tasks.
  • Excellent verbal and written communication skills.
  • Possess organizational skills for prioritizing and managing multiple tasks.
  • Experience with Microsoft Office Suite and Google Drive.
  • Ability to maintain the integrity of confidential information.
  • Solid understanding of spelling, punctuation, and grammar in English.
  • Experience with data entry.
