About the position

The Administrative Assistant position at our Civil Engineering firm is a part-time role focused on providing executive and administrative support. This role is essential for ensuring smooth operations within the office and supporting the team in various administrative functions.

Responsibilities

  • Manage calendars and schedule meetings
  • Prepare professional correspondence, technical documents, and proposals
  • Perform accurate filing and data entry
  • Handle mail and order office supplies
  • Greet clients and professionally answer telephone calls
  • Maintain office equipment
  • Assist with accounting tasks including Accounts Receivable and Payable
  • Conduct research both online and offline
  • Multitask and prioritize effectively in a demanding environment
  • Work independently and be flexible in taking on different roles

Requirements

  • Strong organizational skills and work ethic
  • Professional experience using MS Office programs including Word, Excel, Outlook, Teams, Project, Acrobat, and QuickBooks
  • Precise typing at a minimum of 40 wpm
  • Accounting knowledge, particularly in Accounts Receivable and Payable
  • Proficient English, both written and verbal
  • Attention to detail and accuracy
  • Ability to multitask and prioritize effectively
  • Flexibility to work in various roles
  • Knowledge of the construction industry
  • Problem-solving skills
  • Research savvy, both on and off the internet
