About the position

We are seeking a detail-oriented and proactive Administrative Assistant to support the operations of our construction management and fund control startup. This role ensures efficient communication, task management, scheduling, and client engagement, leveraging tools like Asana and email management platforms to keep projects on track.

Responsibilities

  • Manage incoming draw requests, ensuring accurate documentation.
  • Respond to emails and coordinate meetings, including agendas, logistics, and minutes.
  • Maintain timely communication with stakeholders to meet project milestones.
  • Track and manage project timelines using Asana, ensuring accountability and timely milestone delivery.
  • Identify and escalate task delays or issues for resolution.
  • Facilitate coordination between project managers and inspectors to ensure all required inspections are scheduled effectively.
  • Assist with communication and availability alignment for the inspection process.
  • Collect and review all supporting documentation from borrowers to substantiate draw requests, ensuring accuracy, completeness, and compliance with financial and contractual obligations.
  • Organize and maintain project-related documents such as contracts, invoices, payment records, and compliance paperwork for easy access and review.
  • Compile reports for internal and external submissions, ensuring all necessary supporting documentation is included and properly organized.
  • Manage team and executive calendars.
  • Assist with onboarding team members to project management tools.
  • Send project updates, milestone reminders, and schedule client meetings.
  • Support client onboarding and feedback resolution.

Requirements

  • Proven experience as an administrative assistant, preferably in construction or project management.
  • Proficient in Asana, project management, and email tools.
  • Strong organizational and communication skills with attention to detail.
  • Familiarity with basic accounting principles and financial management tools.

Nice-to-haves

  • Knowledge of construction workflows, compliance, and fund control processes.
  • Experience with construction loans and draw disbursements.
