About the position

The Administrative Assistant/Clinic Caretaker position at our Autism therapy center involves providing essential support to the Operations Team while ensuring a welcoming environment for clients and their families. The role includes managing front desk operations, assisting with scheduling, and maintaining confidentiality in accordance with HIPAA regulations. The ideal candidate will be energetic, organized, and capable of multitasking in a dynamic setting focused on children's development.

Responsibilities

  • Attend meetings as needed
  • Organize and distribute office materials and supplies
  • Assist with business errands
  • Manage front door/lobby and ensure visitor confidentiality
  • Communicate with parents and staff regarding scheduling needs
  • Manage front desk, phone, and computer tasks
  • Understand and work with community support systems
  • Attend weekly/monthly staff meetings
  • Assist with daily tasks assigned by Operations Directors
  • Coordinate and implement general office services such as appointment-setting and records control
  • Participate in interviewing job applicants and conduct orientation for new employees
  • Locate and compile information, format reports, graphs, and tables
  • Assist with special events planning
  • Organize and tidy learning areas throughout the day
  • Use various software applications such as Central Reach, Microsoft Office, and Google Drive
  • Exercise administrative judgment and assume responsibility for decisions
  • Receive and verify invoices and requisitions for goods and services
  • Data-enter invoices for payment
  • Establish and maintain confidential employee and business files
  • Maintain inventory files and financial documents
  • Record administrative and office expenses in computerized programs
  • Provide courteous customer service to visitors, clients, and vendors
  • Perform other duties as assigned
  • Be warm and nurturing with children and their families
  • Be a positive role model for staff and children
  • Be customer service oriented and professional

Requirements

  • High school diploma or GED required; bachelor's degree in psychology, business, counseling, human services, or related field preferred
  • Valid driver's license and reliable transportation
  • At least 1 year of experience working with children
  • Ability to understand characteristics of a wide range of intellectual disabilities
  • Strong work ethic, punctuality, and minimal absences
  • Ability to kneel, bend, squat, lift, push, pull, and carry up to 30 lbs
  • Availability for full-time employment and work until 5:00 PM
  • Ability to manage crisis situations and communicate effectively

Nice-to-haves

  • Experience in customer service
