About the position

We are seeking an Administrative Assistant to join our Community Development department. This role is vital in managing office operations, assisting the public, supporting departmental functions, and ensuring smooth daily activities within the department and assigned divisions.

Responsibilities

  • Serve as the primary point of contact for Code Compliance, acting as a representative and citizen responder.
  • Perform confidential administrative duties, including investigating and resolving issues, preparing reports, and providing recommendations.
  • Respond to sensitive requests and inquiries, interpreting policies, codes, and regulations for the public and staff.
  • Promote Code Compliance through educational outreach to citizens and businesses.
  • Prepare court case files for prosecution and process invoices for Code Compliance and Land Development.
  • Manage departmental calendars, coordinate travel arrangements, and support staff with meeting preparation, including legal notices and minute-taking.
  • Draft and proofread various documents, including reports, ordinances, resolutions, and press releases.
  • Maintain organized filing systems and ensure compliance with records retention policies.
  • Perform limited accounting duties, including tracking accounts payable/receivable and monitoring departmental budgets.

Requirements

  • High School Diploma or equivalent.
  • Strong knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and work independently while managing multiple priorities.

Nice-to-haves

  • Associate's degree or higher in Office Administration or related field.
  • Previous experience in an administrative role within a city or county government.
  • Familiarity with local codes and regulations.
