About the position

The Administrative Assistant for Community Outreach at Golden Gate Regional Center (GGRC) plays a vital role in providing administrative support to the Outreach and Community Engagement team. This position is focused on assisting individuals with intellectual and developmental disabilities, ensuring they lead fulfilling lives. The role involves a variety of tasks including document management, scheduling, and coordination of outreach activities, all aimed at fostering community engagement and support.

Responsibilities

  • Provide administrative support to the Outreach and Community Engagement team, including filing and maintaining records.
  • Coordinate translation of agency documents and interpreters for activities as needed.
  • Assist in documenting Language Access and Cultural Competency Plan activities.
  • Support scheduling for Outreach and Community Engagement activities.
  • Provide administrative support for meetings, including photocopying and agenda creation.
  • Send out approved messaging through social media and email.
  • Coordinate website postings of approved messages and content.
  • Act as a liaison between the Director of Community Services and Agency stakeholders.
  • Assist in researching potential new service providers and Community Based Organizations.
  • Help secure community spaces for outreach activities and gather materials for events.
  • Cover self-determination plan email responsibilities during staff time off.
  • Provide administrative assistance to the Director of Community Services, including scheduling and expense tracking.
  • Participate in rotating front desk coverage and cover urgent responsibilities when needed.

Requirements

  • Experience with underserved populations is desired.
  • Ability to manage tasks or small projects independently.
  • Proficiency in managing group lists and multi-calendar management.
  • Ability to create tables, mail merges, and pivot tables in MS Excel.
  • Strong verbal and written communication skills.
  • Ability to handle confidential material professionally.
  • Advanced familiarity with MS Word, MS Excel, MS PowerPoint, and MS Outlook.

Nice-to-haves

  • Associate degree preferred.
  • Minimum two years' experience working with Spanish and/or Cantonese speaking populations.
