About the position

The Administrative Assistant position is a contract-to-hire role within a growing HVAC company, focusing on supporting the Service Department. The role is essential for maintaining organization and efficiency in a busy environment, requiring strong customer service skills and attention to detail. The ideal candidate will contribute to various administrative tasks, ensuring smooth operations and effective communication within the team.

Responsibilities

  • Assist the service, parts, and dispatch teams by answering phones as needed.
  • Check work orders to ensure parts are ordered, update tracking spreadsheets, and follow up on delayed parts, technicians, and staff.
  • Handle warranty tasks, including emailing customers and technicians and updating the database.
  • Help with school startup projects by creating spreadsheets, maintenance forms, and making follow-up calls.
  • Schedule weekly safety training and manage online course enrollment.
  • Track weekly service technician hours and submit records to Payroll/HR.
  • Sort and distribute service department invoices.
  • Assist with creating bills, reports, and other correspondence.
  • Maintain physical and electronic filing systems.
  • Perform other office duties as assigned by the manager.

Requirements

  • High school diploma required.
  • Strong written and verbal communication skills.
  • Professional and tactful when dealing with internal teams and customers.
  • Ability to calculate percentages and discounts.
  • Capable of resolving practical issues and making decisions independently.
  • Proficient in Microsoft Outlook, Excel, and Word.
  • Skilled at managing multiple tasks, staying organized, and following through.

Nice-to-haves

  • Prior administrative or HVAC industry experience is a plus.
