About the position

The Administrative Assistant will support senior-level managers by performing a variety of administrative tasks aimed at enhancing the efficiency of the business. This role involves managing calendars, payroll, preparing presentations, and conducting cost analysis. The ideal candidate should be well-organized, possess excellent time management skills, and be capable of working independently to provide timely support to executive members.

Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Prepare and review presentations using PowerPoint
  • Track daily expenses and prepare weekly, monthly, or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication memos, emails, presentations, and reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Resolve backorder issues
  • Manage contract renewals
  • Resolve invoice discrepancies
  • Manage vendor relationships

Requirements

  • High School Diploma or equivalent
  • Minimum 2 years of experience in Business Administration or relevant area
  • Work experience in contract management and purchasing department highly preferred
  • Strong proficiency in MS Office
  • Outstanding organizational and time management skills
  • Creative and willing to work independently
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines, Oracle)
  • Excellent verbal and written communication skills
  • Discretion and confidentiality
  • Willing to work in a competitive environment
