About the position

The Administrative Assistant will provide essential administrative and office support to the Corporate department, ensuring smooth operations and effective communication within the team. This role involves a variety of clerical tasks, project assistance, and direct interaction with clients and visitors, contributing to the overall efficiency of the department.

Responsibilities

  • Perform administrative and office support to the Corporate department.
  • Perform general clerical duties including photocopying, faxing, mailing, and filing.
  • Establish, maintain, and update files, records, certificates, and other documents.
  • Screen telephone calls, take messages, and redirect inquiries to the appropriate office.
  • Arrange meetings and conferences; create, transcribe, and distribute meeting agendas.
  • Make travel arrangements, including plane reservations, hotel accommodations, and auto rentals.
  • Take inventory and order office supplies as needed, maintaining adequate stock.
  • Maintain multiple calendars; schedule and cancel meetings and appointments using proper judgment.
  • Reserve conference rooms as requested.
  • Meet and greet clients and visitors.
  • Prepare a variety of confidential correspondence and reports; draft memos, letters, and emails.
  • Prepare monthly expense reports.
  • Support staff in assigned project-based work.
  • Report PC, Printer, and Fax errors to the IT department.
  • Perform other similar or related duties as required or assigned.

Requirements

  • Experience in Microsoft Office Suite is a must.
  • Professional, polished image in-person and via phone interaction.
  • Excellent written and verbal communication skills.
  • Well-developed multi-tasking and organizational skills; detail-oriented.
  • Ability to work in a fast-paced environment and handle stress effectively.
  • Ability to handle sensitive information and maintain confidentiality.
  • Dependable and reliable.
