About the position

The Administrative Assistant at the Sisters of St. Joseph is responsible for performing various office and clerical tasks to support the daily operations of the convent. This role involves managing administrative duties for the nursing team, coordinating appointments, maintaining medical records, and ensuring effective communication within the office. The position requires a commitment to the mission of the Sisters of St. Joseph and the ability to handle sensitive information with confidentiality.

Responsibilities

  • Provides support for the Nursing Team in all daily administrative duties and special projects.
  • Coordinates in-house appointments with doctors for Sisters, generates patient roster, and coordinates monthly visits and patient reminders.
  • Assists with transportation coordination to and from medical appointments for the Sisters.
  • Makes appointments for Sisters with Doctor/Dentist offices, radiology, and labs as requested.
  • Maintains department files and ensures medical records are up-to-date.
  • Maintains integrity of patient charts and answers phones, directing calls or taking messages as required.
  • Orders supplies and maintains accurate records of deliveries.
  • Keeps all office equipment in working order and contacts vendors for repairs as needed.
  • May be required to assist in emergency situations and performs related miscellaneous duties as required.

Requirements

  • High School Diploma or equivalent.
  • Minimum 2 years working in a clerical role.
  • Demonstrates proficiency in all MS Office applications.
  • Experience in a healthcare setting is a plus.
