About the position

The Administrative Assistant to the Dean of Diversity, Equity, and Inclusion (DEI) and Executive Director of DEI Programs at Lake Michigan College plays a crucial role in supporting the strategic and tactical operations of the DEI initiatives. This part-time position requires a blend of administrative skills and the ability to engage with a diverse range of stakeholders, including students, faculty, and community members. The role is designed to enhance the effectiveness of the DEI office by providing comprehensive administrative support, managing communications, and facilitating various projects and events that promote diversity and inclusion within the college community. In this dual role, the Administrative Assistant will serve as the primary point of contact for the DEI office, handling all incoming and outgoing communications with professionalism and discretion. This includes responding to inquiries, resolving issues, and fostering productive relationships with various stakeholders. The assistant will also be responsible for project work that involves analyzing data, creating reports, and coordinating special events such as the MLK Day Celebration. This requires strong organizational skills and the ability to manage multiple tasks simultaneously while maintaining a high level of accuracy. The day-to-day responsibilities include a wide range of administrative functions such as processing mail, managing calendars, making travel arrangements, and maintaining accurate financial records. The assistant will also support the Dean and Executive Director by organizing meetings, preparing agendas, and taking minutes. Additionally, the role may involve supervising student workers and coordinating volunteer opportunities, all while promoting an inclusive environment that encourages student engagement and growth.

Responsibilities

  • Serve as the primary point of contact for the Dean of DEI and Executive Director of DEI Programs.
  • Handle communications and correspondence for the DEI office, responding to requests and resolving issues.
  • Complete various projects, including data analysis, creating spreadsheets, charts, presentations, and reports.
  • Plan and coordinate special events, such as the MLK Day Celebration, including logistics and volunteer management.
  • Perform general clerical duties such as processing mail, scanning, copying, and filing documents.
  • Manage the Dean and Executive Director's calendars, scheduling and organizing meetings, and resolving scheduling conflicts.
  • Coordinate transportation schedules for program participants and report on program outcomes.
  • Assist with tracking student records and program expenditures, and enter data as needed.
  • Supervise student workers and perform other duties as assigned.

Requirements

  • Related Associate degree required; Bachelor's degree preferred.
  • Three or more years of progressively responsible administrative support experience required, including maintaining accurate financial records.
  • Excellent information management and computer skills, including mastery of Excel and Word.
  • Demonstrated project management skills, including research, analysis, and problem-solving abilities.
  • Ability to handle multiple, simultaneous, and complex tasks and projects effectively.
  • Strong critical thinking skills, independent initiative, and excellent judgment.
  • Ability to interact and communicate effectively with faculty, staff, students, and the public in a professional manner.

Nice-to-haves

  • Experience supporting DEI programs preferred.
  • Higher education experience preferred.
