About the position

The Administrative Assistant at Raymond James plays a crucial role in providing high-quality administrative support to Financial Advisors and their clients. This position requires a detail-oriented individual who can manage multiple tasks in a fast-paced environment while maintaining effective communication across various platforms. The role involves processing client transactions, managing documentation, and assisting with marketing efforts, all aimed at enhancing client service and operational efficiency.

Responsibilities

  • Service a high volume of daily interactions with prospective and existing clients via phone, in-person, virtually, and through mailings.
  • Provide crucial support to financial advisors and branch office, both independently and within a team.
  • Process client financial transactions and financial advisor expenses with high accuracy.
  • Open new client accounts and research client and security information using internal databases.
  • Ensure client paperwork and documentation is accurate and complete prior to submission and processing.
  • Prepare letters, forms, and reports to assist with servicing existing clients and prospecting for new clients.
  • Create and maintain records and files utilizing Client Relationship Management (CRM) software.
  • Assist Financial Advisors with marketing efforts including seminars and other client-facing events.
  • Engage in training and professional development opportunities to stay current on firm and industry policies.
  • Perform other duties and responsibilities as assigned.

Requirements

  • High School Diploma or equivalent and one (1) or more years of securities industry or related work experience preferred.
  • Knowledge of general office practices, procedures, and methods.
  • Understanding of investment concepts, practices, and procedures used in the securities industry.
  • Proficiency in Client Relationship Management (CRM) software and Excel for reporting and data management.
  • Ability to analyze and research account information and manage multiple tasks with changing priorities.

Nice-to-haves

  • Experience in the financial services industry.
  • Familiarity with financial markets, products, and industry regulations.
