About the position

The Administrative Assistant role at Layton Construction Company is an entry-level position focused on supporting the procurement team. The ideal candidate will be detail-oriented and organized, assisting with daily administrative operations, including internal billing, document distribution, and inventory tracking. This position is essential for ensuring the smooth functioning of the procurement department and requires strong organizational skills and the ability to work collaboratively in a fast-paced environment.

Responsibilities

  • Communicate with suppliers to confirm orders, delivery dates, and resolve any issues related to orders or invoices.
  • Assist in monitoring and maintaining inventory levels, ensuring that stock levels are aligned with company requirements.
  • Maintain accurate records of procurement activities, including purchase orders, invoices, inventory tracking, and delivery receipts.
  • Provide general administrative support to the procurement team, including scheduling meetings, preparing reports, and maintaining departmental files.
  • Input and update procurement-related data in the company's ERP system, ensuring that information is accurate and up to date.
  • Support the procurement team in developing and maintaining positive relationships with suppliers and vendors.
  • Ensure all procurement activities adhere to company policies, procedures, and relevant regulations.

Requirements

  • High school diploma or equivalent; Associate's degree in Business Administration or a related field is preferred.
  • 1-2 years of experience in a procurement or administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with ERP systems is a plus.
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy in data entry and documentation.
