About the position

The Administrative Assistant, Event & Media Coordinator at Ten Capital HighTower Advisors is a full-time role focused on providing exceptional client service and supporting the leadership team in managing office operations and events. The position requires a self-motivated individual who can multitask effectively while creating a welcoming environment for clients and visitors. This role involves direct client interaction, event coordination, social media management, and office management tasks, all aimed at enhancing the client experience and supporting the firm's dynamic culture.

Responsibilities

  • Create a welcoming first impression for clients and visitors.
  • Tend to the needs of clients and guests, offering beverages and accommodations.
  • Ensure common areas are clean and inviting, and keep kitchen supplies stocked.
  • Direct incoming calls, emails, and inquiries to the appropriate team member.
  • Use a central calendar system to coordinate and confirm client meetings.
  • Create tasks and notes in the Client Relationship Management (CRM) system based on requests.
  • Organize, manage, and attend client and firm events, including securing venues and catering.
  • Distribute monthly client birthday cards and other correspondence.
  • Post Weekly Tens and Weekly Commentary on social media; help create Commentary reports.
  • Create, communicate, and implement office procedures.
  • Order supplies from vendors and manage invoice bookkeeping.
  • Communicate with building management and handle printing, scanning, and mailing requests.

  • Familiarity with social media outlets and marketing tools.
  • Flexibility to work hours related to client events.
  • High school diploma or equivalent required; bachelor's degree preferred.
