About the position

Center for Family Services is seeking an experienced, organized, and efficient Administrative Assistant for the Envision Program. This Program offers community-based residential treatment for females, where program staff work closely with youth and families to provide diagnostic assessment, therapy, educational services, social skills training, and job readiness training. The Administrative Assistant plays a crucial role in supporting the overall program and the program director, ensuring that the administrative functions run smoothly and efficiently. In this position, the Administrative Assistant will interact with a wide variety of people in a professional manner, demonstrating strong communication and computer skills. Punctuality and reliability are essential traits for this role. The Administrative Assistant will perform general office duties, including greeting all visitors to the office, providing telephone coverage, and coordinating the office schedule. Additionally, this individual will handle clerical tasks such as updating the Client Census daily, typing evaluations and court reports as needed, maintaining and securing client files, managing statistical reporting, and ensuring compliance with licensing requirements. Financial responsibilities are also a significant aspect of this position, which includes Medicaid billing, balancing credit card accounts and petty cash, reporting payroll bi-weekly, and providing expenditure spreadsheets. The Administrative Assistant will need to exhibit strong interpersonal skills, provide leadership to staff, promote a sense of agency among co-workers, and communicate effectively in a manner that aligns with the Center for Family Services' mission and values.

Responsibilities

  • Interact with a wide variety of people in a professional manner.
  • Perform general office duties including greeting visitors and providing telephone coverage.
  • Coordinate the office schedule.
  • Update the Client Census daily.

  • Maintain and secure client files.
  • Manage statistical reporting and maintain all forms including licensing requirements.

  • Exhibit strong interpersonal skills and provide leadership to staff.

Requirements

  • Associates Degree required (Bachelor's Degree preferred).
  • Excellent time management, office skills, and organization.
  • 3 years working with adolescents (4 years preferred).
  • Excellent driving skills and current driver's license with a driving record of at least three years.
  • Vehicle with current insurance and registration.
