About the position

The Administrative Assistant/Executive Assistant will support a real estate sales associate's office by managing various administrative tasks, including project management, calendar and travel coordination, and event planning. The role requires high-level communication skills and the ability to adapt in a fast-paced environment while ensuring efficient operations across multiple departments.

Responsibilities

  • Assist executive with general administrative duties such as project creation, calendar and travel management, and event planning.
  • Communicate, create, and manage all follow-up into the primary database.
  • Manage CRM database and perform miscellaneous administrative duties.
  • Prepare, open, close, and host listings for showings, open houses, and special events.
  • Proof and edit marketing materials, manage marketing budget, process invoices and contracts, and maintain deadlines.
  • Assemble marketing campaigns and reports by compiling, consolidating, formatting, and summarizing information.
  • Prepare brochures and presentations by formatting content and graphics; arrange printing and internet packages.
  • Manage social media channels and resize/tag photography.

Requirements

  • Proficiency in Microsoft Office applications (Excel, PowerPoint, email systems).
  • Proficiency in Apple products (MAC, iPad, etc.).
  • Skills in Adobe Creative Suite (InDesign, Photoshop, and other Adobe Suite) applications are a plus.
  • Customer service experience of at least 1 year is preferred.

Nice-to-haves

  • Real estate background preferred.
