About the position

The Administrative Assistant will support the Administration and Faculty Affairs Office at McGovern Medical School, performing a variety of administrative, financial, and clerical tasks under general supervision. This role is essential for managing inquiries, processing requests, and assisting with recruitment and financial transactions, while also providing support for faculty-related administrative tasks and event coordination.

Responsibilities

  • Triage, handle, and process items in the general e-mail inbox, managing basic to moderately complex inquiries.
  • Advise on policy and processes as assigned by leadership, making routine decisions and judgment calls.
  • Review recruitment requests for faculty and staff physician positions.
  • Schedule meetings and rooms, invite participants, and arrange refreshments and equipment for events.
  • Serve as administrative liaison with others regarding administrative issues on purchasing, personnel, facilities, and operations.
  • Receive, classify, reconcile, consolidate, and summarize documents and information.
  • Perform clerical duties including data entry, screening phone calls, scanning, and uploading documentation to internal databases.
  • Maintain calendars and travel itineraries, coordinating related arrangements in compliance with policies and guidelines.
  • Assist in compiling data or producing reports using knowledge of departmental and university policies and procedures.
  • Handle confidential information and sensitive issues.
  • Provide backup for other staff as needed.
  • Perform other duties as assigned.

Requirements

  • High school diploma or GED required; Associate's degree preferred.
  • Four years of related work experience required; may substitute required experience with equivalent years of education beyond the minimum education requirement.
  • Prior experience with scheduling, maintaining calendars, and travel itineraries required.
  • Working knowledge of standard Office Software such as Word, Excel, PowerPoint, and Outlook is required.

Nice-to-haves

  • Bachelor's degree preferred.
  • 1 year of general office experience preferred.
  • Experience preparing meeting materials or general reports is preferred.
