About the position

The Administrative Assistant position at a design firm involves providing essential administrative and clerical support to the team. Responsibilities

  • Prepare documents and maintain an up-to-date client database.
  • Organize files.
  • Answer phone calls and manage correspondence.
  • Greet clients and organize meetings.
  • Estimate project costs and assist with product sourcing.
  • Run various errands outside the office when necessary.
  • Interact with potential and existing clients as needed.

Requirements

  • Bachelor's Degree in Business or a related field (recommended).
  • 2 years of administrative or related experience (recommended).
  • At least 3 relevant references (work or academic).
  • Reliable transportation to and from the Stony Brook office.

Nice-to-haves

  • Proficient in Microsoft Office Suite, particularly Excel.
  • Fluent in Spanish and English (bilingual speaking skills; writing in Spanish is not necessary).
  • Strong computer skills and experience with various office software.
