About the position

The Health Services Administrative Assistant at Evangel University is responsible for managing office activities to effectively provide health services to Health Center clients. This role involves assisting the Director of Health Services (DHS) with patient appointments and the delivery of health care, completing transcription of office notes, and managing student/patient health files. The position is classified as hourly, full-time (40 hours per week) for 9 months, with summer hours of a maximum of 18 hours per week for 2 months (June & July).

Responsibilities

  • Perform receptionist duties including greeting University students, employees, and visitors to the Health Center.
  • Provide information and/or materials regarding Health Services and procedures.
  • Answer telephone calls, taking messages or routing calls to appropriate office personnel.
  • Perform limited triage of patients and schedule Health Services appointments as appropriate.
  • Monitor waiting area and notify appropriate office staff of client arrivals for health appointments.
  • Manage loan equipment and provide for purchase over-the-counter medications.
  • Process payment for appropriate medical fees at the end of patient appointments.
  • Manage calendar of DHS's professional appointments and meetings.
  • Manage incoming mail, deliveries, and correspondence related to Health Services' activities.
  • Arrange for payment of Health Services bills and expenses following established Business Office procedures.
  • Process student charges and receipts, making deposits to the Business Office on a regular basis.
  • Maintain and order/purchase office equipment supplies, and forms as needed.
  • Supervise student employees.
  • Maintain records and files related to individual work assignment.
  • Organize records and work efforts to assure timely accomplishment of tasks.
  • Periodically check work area and maintain a neat and orderly work environment.
  • Monitor cleanliness of office suite, consulting with and reviewing cleaning protocol with Environmental Services staff as needed.
  • Continually review office environment, activities, and procedures, making changes and recommendations to improve and maintain effective functioning of Health Services.
  • Perform other duties as assigned by the Director of Health Services.
  • Perform health assistant duties, including providing first aid, health advice, patient triage, preparing examination rooms and supplies for patient visits, measuring and recording patient vital signs and chief complaint prior to visit and assisting with medical procedures.
  • Assist DHS in follow-up telephone contact with patients requiring re-evaluation or on-going medical care.
  • Maintain supply of clean linens, gowns, and other washable items for patient use.
  • Monitor and restock frequently used laboratory and exam room supplies.
  • Maintain inventory of medical and pharmaceutical supplies, reordering and restocking as necessary.
  • Clean and sterilize reusable medical equipment on a regular basis.
  • Disinfect counters, surfaces, and equipment on a daily/weekly/monthly basis per written protocol.
  • Clean and disinfect CPR manikins and restock supplies after use.
  • Process transcription of medical dictation of office visits/patient appointments, reports, and correspondence.
  • Maintain monthly reports of appointments and medical statistical data.
  • Oversee department's involvement in the student enrollment/registration process.
  • Organize and maintain health and immunization records of current students.
  • Review and process incoming students' health history forms/immunization records with appropriate notification and follow up of incomplete records.
  • Print weekly immunization compliance reports to identify and notify current students of expiring vaccines and need for updates.
  • Oversee yearly copying/scanning of previous medical records to digital format.

Requirements

  • Health care background preferred or willingness to learn to take vital signs and basic first aid.
  • Two years of clerical experience (or equivalent formal clerical training).
  • Operation of standard office machines.
  • Minimum typing skills of 50 wpm.
  • Computer and word processing skills required.
  • Previous experience with medical transcription preferred.
  • Must be a self-directed mature individual with professional and personal discretion.
  • Ability to relate effectively with faculty, staff, and students in an academic setting.
  • Must always maintain strict confidentiality.
