About the position

M.S. Rau is seeking an Administrative Assistant to support the Human Resources department and the Chief Operating Officer (COO). This role involves providing administrative assistance, managing travel arrangements, and executing various HR programs. The position is integral to ensuring smooth operations within the company, which specializes in rare antiques, fine art, and jewelry.

Responsibilities

  • Perform routine tasks required to administer and execute human resource programs including recruiting, benefits, leave administration, and training.
  • Assist with recruiting, interviewing, and facilitating the hiring of qualified job applicants for open positions.
  • Perform tasks related to pre-hiring such as background checks and employee eligibility verifications.
  • Track and document compliance with mandatory and non-mandatory training and work assessments.
  • Answer frequently asked questions from applicants and employees regarding standard policies and benefits.
  • Provide administrative support to the COO and manage assigned tasks.
  • Create documents such as emails, memos, and other correspondence on behalf of the COO.
  • Organize and prepare for meetings, including gathering documents and coordinating logistics.
  • Generate and create reports using Microsoft Excel, Word, PowerPoint, and other software.
  • Schedule and arrange all company travel using Concur.

Requirements

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • 1 year of administrative experience; previous experience supporting human resources is a plus.
  • Previous experience booking travel is a plus; SAP Concur experience is a plus.
  • Proficient in Microsoft Office Suite.
  • Ability to plan and manage administrative tasks for maximum efficiency and productivity.
  • Experience in a fast-paced environment.
