About the position

The Administrative Assistant for Invoicing and Data Entry Documentation is responsible for processing daily customer invoices and managing data entry tasks. This role requires strong organizational skills, attention to detail, and the ability to communicate effectively with both office and shop personnel. The position is full-time, with a focus on maintaining accurate records and supporting the invoicing process.

Responsibilities

  • Process daily customer invoices that coincide with daily customer shipments.
  • Gather and summarize information for review by the requestor.
  • Prioritize and multi-task effectively.
  • Maintain strong attention to detail in all tasks.
  • Communicate effectively within the shop and office personnel.
  • Document actions, identify irregularities, and provide feedback to improve performance.
  • Be receptive to new responsibilities and learning new skills.

Requirements

  • Minimum 5 years of invoice processing experience.
  • Strong math skills and excellent written and verbal communication skills.
  • Good interpersonal communication skills.
  • Knowledge of Microsoft Windows applications such as Word, Excel, and Outlook.
  • Typing speed and accuracy are a priority.
  • Ability to navigate internet-related tasks and perform basic research.

Nice-to-haves

  • Bilingual (Spanish) is preferred but not required.
  • Experience in using Microsoft Access is a plus.
