About the position

The Administrative Assistant for Forensic Services provides essential administrative and clerical support to the Forensic Services Division at The Children's Assessment Center. This role involves assisting the director, supervisors, staff, and clients, ensuring smooth operations and effective communication within a multidisciplinary team. The position requires strong organizational skills and the ability to manage a high-capacity waiting room while maintaining a calm environment for clients.

Responsibilities

  • Provides administrative and clerical support to a large multidisciplinary team.
  • Answers phones, takes messages, and notifies staff of client arrivals/departures.
  • Oversees clients in a high-capacity waiting room while maintaining a calm setting and ensuring client safety.
  • Acts as the primary contact person for the department, notifying staff of tours, media interviews, and crisis interventions.
  • Assists program staff by overseeing daily schedules, cancellations, and changes when the supervisor is unavailable.
  • Performs other duties as assigned.

Requirements

  • Bachelor's degree or three to five years of experience in an office/clerical environment or social service environment using Microsoft Office and Outlook.
  • Excellent written and verbal communication skills.
  • General office management skills.
  • Strong organizational and time management skills.
  • Ability to work under pressure in a short-scheduled project environment.
  • Ability to work independently and as part of a team.
  • Professional appearance and etiquette.

Nice-to-haves

  • Bilingual in English and Spanish (preferred).
  • Skill with a digital recording system such as Simulation IQ to review records (preferred).
