About the position

We are seeking a friendly and organized Administrative Assistant/Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients, providing exceptional customer support and ensuring smooth daily operations. This role requires strong administrative skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Greet and direct parents and other visitors.
  • Follow sign in and visitor protocols for entry into center.
  • Support the Executive Director in the management of the front desk and reception area.
  • Obtain necessary documentation, prescriptions, medications and/or medical action plans for each child as pertinent.
  • Answer telephone, direct calls to appropriate persons and take messages as needed.
  • Create and maintain student files for all students in all programs in accordance with compliance guidelines for each program.
  • Work directly with Family Support Specialist to ensure that files are created and maintained.
  • File and make copies of all appropriate child data and records.
  • Support the Executive Director and/or Family Support Specialist as needed in the coordination of center special events.
  • Help to contact parents of children in program in event of an emergency.
  • Inventory Office Supplies.
  • Coordinate paperwork compliance activities with MH/MR Service Coordinators.
  • Assist in planning and organizing fundraising events.
  • Maintain correspondence with community members as needed (fundraising, thank you, acknowledgements etc.).
  • Perform additional duties as assigned.

Requirements

  • Strong phone etiquette and interpersonal skills for effective communication with clients and colleagues.
  • Proficient in administrative tasks with a keen eye for detail in data entry and document management.
  • Experience as a receptionist or clerk is a plus but not required.
  • Familiarity with calendar management to coordinate appointments efficiently.
  • Proficient in using Google Suite applications for daily office operations.
  • Ability to multitask while maintaining a positive attitude in a busy environment.
  • Strong computer skills which include Microsoft Word, Excel, PowerPoint.
