About the position

The Office Administration Assistant plays a crucial role in providing administrative and organizational support to the Agency. This position serves as the initial point of contact for clients, visitors, and staff, ensuring a welcoming environment that promotes client comfort and trust. Responsibilities include client scheduling, handling confidential records, and performing receptionist duties, all aimed at delivering quality care and services.

Responsibilities

  • Answer multi-line telephone system courteously and take accurate messages.
  • Serve as the primary initial Agency contact for customers and visitors, performing full intake for initial appointments.
  • Maintain an organized calendar and schedule appointments according to guidelines.
  • Collect client fees and reconcile money received against route slips for the day's appointments.
  • Maintain organized files, updating information and purging/archiving as necessary.
  • Distribute official documents from various institutions and prepare monthly OASAS reports as required.
  • Prepare necessary paperwork for toxicology screenings and ensure readiness for laboratory.
  • Complete admissions and discharges in the OASAS database as assigned.
  • Assess self-pay client fee schedules as assigned.
  • Maintain office supply inventory and provide general office assistance.

Requirements

  • High School Diploma or GED required; Associate degree preferred.
  • Prior general business, clerical, and/or customer service experience required.
  • Experience with multi-line phone systems and various office equipment is required.
  • A valid driver's license is required.

Nice-to-haves

  • Experience in scheduling appointments (3 years preferred).
  • Experience in SUD Clinical (2 years preferred).
  • Good computer skills including database management.
