About the position

The Administrative Assistant at Connections Health Solutions plays a vital role in providing comprehensive administrative and clerical support to management and clinical staff. This position is essential for ensuring smooth day-to-day operations across departments, managing office supplies, processing invoices, coordinating meetings, and assisting with reporting requirements. The role is integral to the functioning of the facility, contributing to the overall mission of improving access to behavioral health services.

Responsibilities

  • Provide clerical and administrative support to clinical and management staff, including scheduling meetings, taking minutes, and assisting with daily office tasks.
  • Schedule and coordinate conference room and training room reservations. Take detailed meeting minutes for various internal meetings.
  • Assist management staff and HR in organizing and executing New Employee Orientation programs as needed.
  • Ensure that brochure display boards throughout the facility are properly stocked and updated with current information.
  • Assist with county and state reporting requirements, including seclusion and restraint documentation, MCO reporting, and Key Performance Indicator (KPI) reporting.
  • Help plan and organize annual staff events such as the skills fair, including scheduling, logistics, and communication with staff.
  • Manage and process billing documents and invoices. Ensure that financial and office-related functions are completed accurately and in a timely manner.
  • Order office, clinical, and other necessary supplies, and maintain inventory for each unit to ensure supplies are consistently stocked.
  • Perform additional duties and special projects as assigned by management, supporting the overall function of the facility.

Requirements

  • High School Diploma or equivalent
  • 3 years of administrative assistant or relevant work experience
  • Proficiency in Microsoft Suite and excellent computer skills
  • Critical thinking skills and the ability to problem solve daily
  • Exceptional customer service skills and interpersonal skills with a collaborative style
  • Must pass background checks including Child Abuse Clearance, FBI Criminal Background Check, Pennsylvania State Police Criminal Record Check, and Level 1 Fingerprint Clearance Card.
