About The Position

The Hospital Medicine Administrative Associate supports the Hospital Medicine Medical Director, Intensivist Medical Director and professional medical staff by providing office/administrative support including but not limited to: clerical functions, word processing, maintenance of records, systems support and scheduling. The Hospital Medicine Administrative Associate demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.

Requirements

  • Associates degree preferred in business, office management, health sciences or related field.
  • A minimum of 1 year experience in medical secretary or administrative office experience.
  • Experience working with physicians preferred.
  • Experience working with people from diverse cultures preferred.
  • Exceptional written, verbal, composition, and communication skills.
  • Excellent organizational skills.
  • Strong computer skills with word processing, e-mail, electronic calendars, databases, and spreadsheets.
  • Meeting minute-taking and transcription Knowledge of Medical Terminology.
  • Ability to work in a team environment in a collaborative manner.
  • Detail and results oriented, with emphasis on accuracy.
  • Ability to work under pressure, prioritize and multitask.
  • Self motivated and able to work autonomously.
  • Demonstrates ability to maintain information in a confidential manner and can make good decisions.
  • Demonstrates excellent interpersonal skills.
  • Ability to work effectively under pressure.
  • Ability to work accurately despite frequent interruptions while demonstrating flexibility and business etiquette during times of high stress.
  • Ability to work well with other members of the medical community and serve as a representative of the physicians.

Responsibilities

  • Performs general receptionist duties such as answering the telephone and greeting individuals who enter the office.
  • Serves as primary support for the hospitalist and critical care physicians in their daily duties.
  • Assist Leadership with daily reports.
  • Prepares reimbursement requests and submits to payroll for physician reimbursement of dues and CME's.
  • Reconciles monthly credit card statements of Medical Director and Administrative Director.
  • Sets up monthly meetings and coordinates tele-conference calls, takes minutes and provides support for meetings.
  • Receives and distributes departmental mail.
  • Coordinates and maintains calendar for office functions, including lunches with Pharmaceutical Reps, Lunch & Learns, and interviews with potential physician candidates.
  • Assures effective communication Between HMP physician and the referral physicians.
  • Triage of all incoming calls from family, insurers, hospital staff, funeral home and pharmacies.
  • Assists other departments with physician notification for incomplete records or charges.
