About the position

The Administrative Assistant for Hospitalist at Health First is responsible for providing comprehensive administrative support to ensure the smooth operation of the department. This role involves managing various administrative functions, coordinating meetings, maintaining files, and assisting with budget tracking and financial responsibilities. The position emphasizes uncompromised safety, superior quality, and memorable patient experiences.

Responsibilities

  • Prioritize work assignments and hours as necessary to include general administrative duties.
  • Complete correspondence, projects, assignments, and deliverables as required.
  • Participate and take minutes in designated meetings.
  • Transcribe dictation as needed.
  • Maintain and update department files, personnel files, and mailing lists for area of responsibility.
  • Process and maintain time and attendance on the Kronos system accurately.
  • Monitor and ensure departmental policies and procedures are updated.
  • Conduct research and provide administrative support for special projects, preparing data and following up on inquiries.
  • Coordinate meetings for department or committees as determined by supervisor, including arrangements for notices, locations, AV needs, catering, and cleanup.
  • Coordinate the department budget tracking process, including monthly operating expense reports and monitoring expenses.

Requirements

  • High School Graduate or equivalent is required.
  • A two-year Associate degree in a related area is preferred.
  • 3 years of administrative or healthcare experience is required.
  • Typing skills of a minimum of 50 words per minute are required.
  • Good working knowledge of medical terminology is preferred.
  • Proficiency in electronic mail software, Microsoft Windows, and Microsoft Office applications is necessary.
  • Good interpersonal relations and communication skills, both written and verbal, are required.
  • Strong organization and time management skills are essential.

Nice-to-haves

  • Healthcare experience is preferred and may be required in some areas.
  • Less experience may be accepted if the candidate has demonstrated a proven track record at Health First.
