About the position

The Administrative Assistant I position at Gamble Rogers Memorial State Park Recreation Area involves providing essential administrative support to park operations. The role requires strong visitor service skills and the ability to work independently while assisting in planning, coordinating, and implementing various administrative activities. The position is crucial for ensuring efficient park management and enhancing visitor experiences.

Responsibilities

  • Perform assigned fiscal audits and act as purchasing agent.
  • Monitor and track park budget, preparing budget reports.
  • Process payment of utility bills, requisitions, and purchase orders.
  • Act as primary liaison for the Purchasing Card Program System.
  • Maintain work project tracking forms and project files.
  • Ensure compliance with purchasing regulations and division policies.
  • Operate office equipment and maintain personal computer systems.
  • Assist in overseeing toll collectors and training staff in administrative procedures.
  • Prepare special correspondence and act as property custodian.
  • Assist Park Manager in budget request processes and provide recommendations for efficiency.
  • Respond to oral and written complaints and make resolution decisions.
  • Track schedules and correspond with volunteers.
  • Administer concession contracts and conduct monthly inspections.
  • Answer phones and direct calls or take messages.
  • Act as Office Manager for office operations and ensure smooth procedures.
  • Maintain property and personnel files.
  • Attend meetings and represent the Park Manager at various meetings.
  • Prepare and process paperwork related to personnel activities, including leave and attendance.

Requirements

  • Must possess a valid driver's license.
  • Must successfully complete fingerprint/background check.
  • Knowledge of administrative principles and practices, office procedures, and data collection.
  • Ability to collect, evaluate, and analyze filing, accounting, and budget entry.
