About The Position

The Administrative Assistant I position at Curry Hammock State Park involves providing high-level administrative support to the Park Manager. The role requires strong administrative skills, the ability to work independently, and a commitment to enhancing the park's operations and visitor experience.

Requirements

  • Knowledge of administrative principles and practices.
  • Skill in cash register operation and cash handling.
  • Ability to operate personal computers including Microsoft Word, Microsoft Excel, Quicken, and database software.
  • Ability to understand and apply applicable rules, regulations, policies/procedures relating to administrative functions.
  • Ability to prepare and maintain financial records.
  • Effective verbal and written communication skills.
  • Ability to work independently and establish effective working relationships with others.
  • Maintain a valid driver license.

  • Familiarity with state regulations and compliance requirements.

Responsibilities

  • Assist Park Manager in planning, coordinating, and implementing all administrative activities such as annual ticket audits, purchasing audits, and budget monitoring.
  • Oversee fiscal data and records, and complete daily, weekly, and monthly reports.
  • Assist management with purchasing, bids, work projects, requisitions, contracts, and other necessary administrative functions.
  • Track and reconcile the park's budget and oversee the Purchasing Card (P-card) process.
  • Act as purchasing agent for P-cards, FPO's, and requisitions.
  • Manage SAMAS/FLAIR reports, EMIS, Oculus, PPMTS database, and future tracking systems.
  • Set up and maintain all files and records of correspondence, documents, reports, and other materials relating to the park budget and purchasing.
  • Answer phones, operate radio equipment, and maintain logs.
  • Assist in administrative activities related to computerized reservation system.
  • Meet visitors, answer questions, provide information and directions, and assist with daily ranger station opening/closing procedures.
  • Attempt to resolve visitor complaints while maintaining good public relations.
  • Assist with public service announcements and press releases as needed.
  • Provide natural and cultural history information to visitors as needed.
  • Assist in supervision of lower-level employees (OPS office staff) and monitor performance evaluations.
  • Prepare Personnel Action Requests, perform timekeeper functions, and assist with hiring and Talent Management utilizing People First.
  • Receive and read incoming mail, screen items, and maintain a tracking system for correspondence and reports.
