About the position

The Administrative Assistant I position at the University of Massachusetts Dartmouth is responsible for providing comprehensive administrative support to the Chairperson and faculty of the Department of Crime and Justice Studies. The role involves managing student files, assisting with the internship program, coordinating departmental events and conferences, supervising student employees, and supporting faculty with various administrative tasks. The incumbent must maintain confidentiality and professionalism while contributing to the department's goals of enhancing student academic success and retention.

Responsibilities

  • Manage academic advising files and confidential files for all undergraduate students per FERPA regulations.
  • Assist with the internship program by researching and locating internship placements for students.
  • Coordinate event planning for programs and conferences, including venue reservations and participant registration.
  • Supervise, train, and assess work-study students on office procedures and departmental policies.
  • Communicate to students on behalf of faculty when faculty are unavailable.
  • Process confidential personnel actions such as evaluations and contract renewals for faculty.
  • Organize materials for faculty recruitment and perform day-to-day administrative duties for the department.
  • Keep the department's website up-to-date and manage logistical functions for departmental meetings.

Requirements

  • Two years of full-time or equivalent part-time experience in office management, office administration, business administration, or business management.
  • Knowledge of office management principles and practices.
  • Ability to maintain accurate records and prepare general reports.
  • Strong communication skills, both oral and written.
  • Ability to supervise and train staff effectively.
