About the position

The Administrative Assistant I position at Gwinnett County Public Schools involves providing comprehensive administrative support to the Executive Director of Development and assisting with various functions within the Development and GCPS Foundation department. The role requires excellent communication skills, the ability to manage multiple tasks, and a commitment to maintaining confidentiality and integrity in all interactions. The position is essential for ensuring smooth operations within the department and facilitating effective communication with internal and external stakeholders.

Responsibilities

  • Provide administrative support to the Executive Director of Development and assist with departmental functions.
  • Perform office administrative duties, aligning priorities with the Executive Director.
  • Facilitate written and verbal communication, managing all telecommunications for the office.
  • Arrange meetings, maintain calendars, develop minutes, and prepare follow-up correspondence.
  • Develop and maintain partnerships with other departments and advisory groups.
  • Process incoming mail and correspondence, manage telephone communications, and maintain appointment schedules.
  • Assist with the Employee Perks Program and maintain the Foundation website and social media pages.
  • Transform rough draft materials into high-quality documents and monitor the quality of released materials.
  • Monitor financial/accounting duties to ensure timely payments and accurate claims for reimbursement.
  • Meet with potential funders and donors as requested and attend networking events on behalf of the Foundation.
  • Assist with new projects and perform other duties as assigned.

Requirements

  • High school diploma or equivalent required; Bachelor's degree in a related field preferred.
  • Three years of secretarial/administrative experience in a professional environment required.
  • Excellent communication skills with internal personnel and external public.
  • Ability to maintain strict confidentiality and high integrity.
  • Knowledge of Windows-based programs including Microsoft Office Suite and nonprofit software like Raiser’s Edge.

Nice-to-haves

  • Experience in a school system preferred.
  • Knowledge of Student Information Systems (SIS).
  • Excellent spelling, grammar, and proofing skills.

Benefits

  • Full-time position with a salary range of $40,763 - $68,051 annually.
  • Scheduled days: 245 days per year.
