About the position

Under general supervision, perform administrative support duties requiring proficiency in more than one of the areas of office management, fiscal management, or customer relations; may supervise and organize the work of student employees and short term, non-continuing personnel; and perform related work as required. This is a regular, part-time (0.5 FTE), 12-months per year, classified position. The tentative work schedule will be Monday through Friday from 8:00am - 12:00pm. This position is contingent upon funding and Board approval.

Responsibilities

  • Assists students, staff and the public and refers to appropriate area/department if needed.
  • Performs various administrative support tasks related to an assigned area(s)/department(s); organizes, prioritizes, and completes tasks in a timely manner.
  • Answers questions and explains District policies and procedures related to the assigned area(s)/department(s).
  • Keyboards reports, correspondence, memos, forms, agendas, faculty evaluations, meeting minutes, purchase requisitions, directories, and tables; proofreads documents for accuracy, completeness, and conformity to established formats.
  • Enters course outline submissions and revisions into the College curriculum database from material provided.
  • Schedules meetings and conferences; attends meetings, takes notes and prepares minutes.
  • Monitors budgets; prepares purchase requisitions, budget transfers and supply orders electronically.
  • Creates and maintains spreadsheets and databases.
  • Compiles statistical information and prepares reports.
  • Collects monies received, issues receipts and prepares bank deposits.
  • Updates and/or maintains a web site.
  • Provides administrative support for assigned area(s)/department(s).
  • Oversees the maintenance and repair of department office equipment.
  • Delivers, retrieves and sorts area/departmental mail.
  • Maintains complete and accurate filing systems.
  • May supervise and organize the work of student employees and short-term, non-continuing employees.

Requirements

  • Graduation from high school.
  • A minimum of one year of administrative assistant experience.

Nice-to-haves

  • Completion of an administrative assistant certificate (or equivalent coursework).
  • Type or keyboard at a minimum of 45 words per minute.

  • Salary Range: $2,286.00 - $2,779.00 per month.

  • Full-time classified Unit members earn 8 hours of sick leave and start off accruing hours of vacation for each month worked (accrual rate increases after first year of employment and rates are pro-rated for part-time employees).
  • Employees are also compensated for holidays recognized by the District (18 holidays/year, pro-rated for part-time employees).
