About the position

The Administrative Assistant I position in the Office of Data Governance is responsible for providing comprehensive administrative support to the Executive Director and assisting with various departmental functions. This role involves managing schedules, organizing files, facilitating communication, and ensuring efficient office operations. The position requires strong organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.

Responsibilities

  • Provide administrative support to the Executive Director of Data Governance.
  • Perform general administrative duties including note-taking and transcription of communications.
  • Align administrative priorities with those of the Executive Director.
  • Maintain an accurate schedule of activities for the Executive Director.
  • Arrange and coordinate travel and conference details for the Executive Director.
  • Prepare minutes, reports, work orders, memoranda, and purchase orders as needed.
  • Organize and maintain office files and records efficiently.
  • Operate office machines such as copiers, computers, and scanners.
  • Handle routine matters in the supervisor's absence and delegate appropriately.
  • Receive and sort incoming mail for the Executive Director.
  • Identify and develop areas for process improvement and service delivery.
  • Assist in preparation and facilitation of meetings and events.
  • Monitor financial/accounting duties to ensure timely payments.
  • Ensure accuracy and legitimacy of reimbursement claims.
  • Assist with departmental budgets and reports as requested.
  • Process payments for contractors in a timely manner.
  • Maintain accounting of all department budgets.
  • Communicate professionally and efficiently with all parties.
  • Coordinate and arrange interviews and assist with onboarding for new employees.
  • Maintain positive relationships with other departments and staff members.
  • Assist with new projects as assigned.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required; Bachelor's degree in a related field preferred.
  • Three years of secretarial/administrative or equivalent acceptable experience required.
  • Experience in bookkeeping, accounting, or similar fields preferred.
  • Ability to coordinate multiple tasks and priorities effectively.
  • Excellent communication skills with the public and strong human relation skills.
  • Ability to maintain strict confidentiality of information.
  • Proficient in preparing reports and drafting professional business correspondence.
  • Demonstrated knowledge of Microsoft Office and financial/HR tools such as PeopleSoft.
  • Ability to analyze existing processes and identify areas for improvement.
  • Ability to follow specific verbal and written instructions.
