About the position

The Administrative Assistant I for Parks and Recreation is responsible for performing a variety of clerical and secretarial tasks under the supervision of the Director of Parks and Recreation. This role involves customer service, managing reservations, maintaining records, and assisting with departmental events and programs. The position requires independent judgment and the ability to work with minimal supervision while ensuring efficient operations within the department.

Responsibilities

  • Receive fees for reservations and registration of PARD facilities, programs, and events.
  • Maintain reservation software (Civic Rec) and the reservation calendar.
  • Assist in the scheduling of maintenance for PARD facilities.
  • Promote PARD facilities through photography, document creation, and contacting advertisers.
  • Provide excellent customer service to both internal and external customers.
  • Maintain PARD's social media pages.
  • Perform routine administrative duties, including answering phones and greeting the public.
  • Assist in the procurement of department materials and supplies.
  • Prepare and monitor work orders.
  • Answer and screen incoming calls and provide information as required.
  • Receive the public and answer questions; respond to inquiries from citizens and others.
  • Prepare daily and/or weekly deposits for the department.
  • Receive, stamp, and distribute incoming mail, and process outgoing mail.
  • Compose, type, and edit various correspondence, reports, and memoranda.
  • Input data into departmental request forms and compile tabulated data for reports.
  • Assist with Department events and programs.
  • Assist other City departments with special projects and/or events when needed.
  • Work overtime as required to complete assigned tasks.
  • Display good decision-making abilities and use independent judgment.
  • Maintain regular and predictable attendance and a flexible work schedule.

Requirements

  • Four (4) years of experience in general secretarial work or experience in data entry and public relations.
  • High School diploma or GED.
  • Valid Class C Texas State Driver's License and safe driving record.
  • Good communication skills and a calm demeanor in responding to customer inquiries.
  • Knowledge of modern office procedures, methods, and computer equipment.
  • Knowledge of basic principles and procedures of record keeping and general bookkeeping practices.
  • Ability to demonstrate a high standard of customer service.
  • Ability to work independently in the absence of supervision.
