About the position

The Administrative Assistant I at Inland Empire Health Plan (IEHP) plays a crucial role in supporting the department's administrative and clerical functions. This position involves multi-tasking, prioritizing tasks, and maintaining effective communication while managing sensitive information. Responsibilities

  • Perform a broad range of administrative duties for the department.
  • Maintain and control confidential files and records.
  • Prepare all required reports and correspondence.
  • Schedule appointments and screen telephone calls with discretion.
  • Coordinate departmental meetings, including preparing presentations and sign-in sheets.
  • Develop and maintain a daily filing system and filing log.
  • Ensure timely completion of daily responsibilities, including updating the organization chart and sorting mail.
  • Place office supply orders and maintain inventory.
  • Coordinate one-on-one meetings, annual reviews, and training sessions.
  • Act as department liaison to Facilities, Mailroom, and Helpdesk.
  • Maintain department attendance calendar and report attendance information to the Director.
  • Prepare agendas and meeting packets for management meetings.
  • Coordinate plans for visitors, including access badges and parking instructions.

Requirements

  • One (1) year of experience in an office environment.
  • Proficient experience in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • High school diploma or GED required.
  • Demonstrated superior interpersonal and administrative skills.

Nice-to-haves

  • Good knowledge of general office procedures and practices.
