About the position

The Administrative Assistant I position at the University of Massachusetts Dartmouth serves as a primary pre- and post-award liaison for individual investigators assigned by the Chief Research Officer. The role involves providing direct support and guidance to Principal Investigators in applying for research funding, assisting with proposal preparation, budget development, and post-award administration. The incumbent will work closely with faculty and administrators to ensure compliance and efficiency in grant activities and fiscal resources.

Responsibilities

  • Serve as a primary pre- and post-award liaison for individual investigators.
  • Provide support and guidance to Principal Investigators applying for research funding.
  • Assist in proposal preparation, including budget development and non-technical components.
  • Review and interpret sponsor solicitations and obtain necessary approvals.
  • Assist with post-award administration including budget monitoring and purchasing.
  • Monitor compliance and efficiency of grant activity and fiscal resources.
  • Interact with campus and system-wide administrative offices for sponsored research management.
  • Coordinate administrative activities associated with sponsored award management.
  • Assist with research compliance submissions to IRB, IACUC, etc.
  • Prepare and monitor budgets, expense reports, and invoices.
  • Issue gift cards to research participants and reconcile records.
  • Process Purchase Orders and Direct Pay Invoices for CVIP.
  • Participate in research administration training sessions.
  • Maintain databases of assisted grant activity.
  • Act as a liaison for faculty/staff seeking information on grant submissions.
  • Supervise and train work-study students on office procedures.
  • Maintain confidential files for assisted grant activity.
  • Provide faculty/staff with information from PeopleSoft and other software.
  • Assist with edits to faculty research webpages.

Requirements

  • Two years of full-time or equivalent part-time experience in office management, administration, or business management.
  • Knowledge of office management principles and practices.
  • Ability to analyze data and make recommendations.
  • Ability to communicate effectively in oral and written forms.
  • Ability to supervise and train staff.
  • Ability to maintain accurate records and prepare reports.

Nice-to-haves

  • Experience with Microsoft Office suite or desktop applications.
  • Prior experience working with faculty and students.
