About the position

The Administrative Assistant I position at Envision Healthcare involves providing essential administrative support to ensure smooth operations within the organization. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The position is hybrid, allowing for a combination of remote and in-office work, and is crucial for maintaining relationships with medical staff and facilitating various administrative functions.

Responsibilities

  • Attend and provide administrative support including typing, dictation, composing/proofreading correspondence, and indexing and filing documents for virtual and in-person meetings.
  • Maintain excellent relationships with the healthcare facilities' medical staff office and CVO, understanding their unique credentialing processes.
  • Ensure all details involved in completing a provider's re-credentialing files are accomplished according to company guidelines, efficiently and proactively.
  • Maintain records and reminders for expiring provider certifications and continuing medical education.
  • Compile and disseminate information for the monthly newsletter.
  • Assist in collecting QA data and maintain a master spreadsheet of throughput metrics and Key Performance Indicators (KPIs).
  • Facilitate and attend collegiality events in coordination with the HR director, including reservations, payment, and implementation.
  • Provide backup to all team members as necessary.
  • Independently modify form letters to fit varying situations.
  • Independently compose correspondence based on policy knowledge and personal discretion.
  • Professionally interact with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization.
  • Coordinate information flow and inter-office communication and records.
  • Sort incoming mail while determining priority for handling.
  • Answer office phone and e-mail inquiries, facilitating callers/visitors and escalating to the appropriate parties when necessary.
  • Compose and type various styles of documents and presentations using programs within the Microsoft Office Suite.
  • Maintain calendars for assigned leadership.
  • Maintain inventory of office supplies, business forms, and letterhead.
  • Oversee equipment maintenance.
  • Schedule/coordinate meetings and appointments.
  • Arrange travel, which may include airline, lodging, dining, and/or ground transportation.
  • Work independently or within a designated team on special nonrecurring and ongoing projects as assigned by leadership.
  • Assist other department leadership as requested.
  • Maintain the strictest of confidentiality.

Requirements

  • High School Diploma or General Education Degree (GED).
  • 2 or more years of related experience.
  • Very strong written, oral, and interpersonal communication skills.
  • Ability to effectively prioritize and execute tasks in a high-pressure environment.
  • Experience working both independently and in a team-oriented, collaborative environment.
  • Proficient in Microsoft Office Suite and internet research.
