About the position

The Administrative Assistant I at the University of Mississippi plays a crucial role in managing the front desk of the administrative suite, providing support to patrons and visitors, and ensuring smooth operations within the library. This position involves a variety of administrative tasks, coordination of events, and oversight of student workers, contributing to the overall efficiency and effectiveness of the library's services.

Responsibilities

  • Manage the front desk of the administrative suite, including answering calls and greeting patrons/visitors.
  • Assist in managing and training student workers.
  • Monitor compliance with departmental policies and procedures.
  • Process various forms for purchasing, travel authorizations, student assistantships, and employment.
  • Coordinate the graduate and faculty carrel application process, ensuring cleanliness and maintenance of carrels.
  • Coordinate logistics for travel, housing, meals, and hospitality arrangements for special events.
  • Assist in planning, coordinating, and executing special events held by the library.
  • Receive and process requests for booking spaces within the library, managing calendars and sending reminders to patrons.
  • Complete applications, agreements, or other forms as assigned.
  • Enter data in databases, compile data, and prepare summaries.
  • Assign tasks, determine priority, and monitor progress of assignments until completion.
  • Maintain accurate records of departmental supply inventory, including managing the supply closet and conducting quarterly inventory counts.

Requirements

  • High school diploma or equivalent required; some college coursework preferred.
  • Experience in an administrative support role is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
