About the position

The Administrative Assistant I role is designed to provide personal secretarial services and administrative assistance to the General Manager and senior management. This position requires independent work under general direction, focusing on various administrative tasks such as records management, billing, payroll, and personnel records. The role emphasizes the need for initiative and judgment in handling non-routine situations and maintaining confidentiality in sensitive matters.

Responsibilities

  • Manage the accounts payable and receivable process.
  • Obtain purchase orders, validate and process invoices.
  • Contact vendors regarding discrepancies.
  • Review, transmit, and manage the weekly payroll process.
  • Reconcile any issues that occur.
  • Assist the General Manager with the month-end close process.
  • Type correspondence and reports from rough drafts, editing grammar, punctuation, or spelling as needed.
  • Screen telephone calls and visitors, redirecting as necessary.
  • Provide information to callers with detailed knowledge of the manager's area of responsibility and company policies.
  • Perform a broad range of administrative details of a highly confidential nature.
  • Prepare a variety of highly confidential, specialized, and recurrent reports such as financial data.
  • Produce high-quality reports, presentations, proposals, or other documents.
  • Maintain a filing system including confidential items.
  • Establish, maintain, and revise supervisor's files as necessary.
  • Maintain the manager's calendar, scheduling meetings and appointments.
  • Arrange travel and hotel accommodations for extended trips.
  • Compile and submit expense reports.
  • Open and review all mail directed to management staff.
  • Compose responses to routine inquiries and delegate items to subordinate managers.
  • Coordinate high-level meetings with associates and customer meetings.
  • Serve as a central communication point for associates on HR and associate relations items.
  • Delegate work to one or two clerical associates to assist with routine duties.
  • Follow up on all assignments delegated to subordinate managers regarding status and completion.
  • Operate office equipment including fax, copiers, printers, and binding machines.

Requirements

  • High School Diploma or Equivalent.
  • Two years of experience using MS Excel, MS Word, and an email system.
  • Three years of related experience preferred.
  • Two years of experience with accounts receivable and accounts payable preferred.
