About the position

The Administrative Assistant I position at the State of New Hampshire involves providing administrative support to the Bureau of Facilities and Assets Management. The role includes tasks related to purchasing, leasing, and maintenance of facilities and equipment, ensuring efficient office management operations.

Responsibilities

  • Assist the Administrator in organizing and updating documents related to maintenance and renovation of BFAM facilities.
  • Coordinate office management operations and perform other administrative support functions, including typing correspondence, maintaining files, answering the telephone, and scheduling appointments for the Bureau Administrator.
  • Monitor the implementation of operating procedures for special projects as assigned.
  • Track expenses and communicate with the Bureau Administrator regarding any shortages or transfers needed.
  • Verify accuracy, assign appropriate codes, and submit all invoices to Shared Services for payment.
  • Reconcile vendor statements and forward copies of invoices to designated personnel, entering all requisitions into Lawson for processing and approval.
  • Input energy usage data from utility invoices into the Energy Information System and submit required quarterly reports for energy usage.
  • Process state employee photo IDs for other State agencies, confirming documentation and identification validity prior to issuance.
  • Order work supplies and equipment as approved by the Bureau Administrator and inventory all office supplies and equipment.
  • Communicate with BFAM staff regarding employee requests for repair and maintenance issues.
  • Review accounting codes entered for PCARD transactions prior to signing off.
  • Scan and send receipts to the Business Office in a timely manner.
  • Review State contracts regularly and inform BFAM staff and the Bureau Administrator of any changes to vendors and/or procedures.
  • Answer all questions regarding purchases and provide excellent customer service.

Requirements

  • Associate's degree from a recognized college or technical institute with a major study in business administration, accounting, or public administration.
  • Three years of experience in responsible office or business management activities.

Nice-to-haves

  • Knowledge of office practices and principles of office management.
  • Familiarity with general principles of bookkeeping.
  • Ability to keep complex records and prepare periodic reports from such records.
  • Ability to establish and maintain harmonious working relationships with other employees.
